Remote access

The basic idea of the entire system is online sharing of data by all users of the system. This involves two technologies:

  • Remote access to the information system
  • Client server architecture

The client server architecture allows all the clients who got connected to work at the same time with the same data on the platform of the Helios Orange information system. The connection of all the clients to the same database located in our company is established via the Internet. The client does not need to buy any special computer equipment to run the Helios Orange information system.

Remote Access Information System

The Remote Access service will provide the economic software Helios Orange, which is implemented in the company computer and which has been successfully running for seven years.

The scope of solution

The system includes economic modules such as purchase (invoices, orders), sales (invoices, orders, deliveries, and price lists) stocks (warehouse, production, products, consumption, deficiency and damage), accounting (bank statements, cash, internal documents, VAT ...) salaries, reports (debits and credits, allocation, balance, income statement, statement of accounts, movements on the accounts, movements in the stock, stock in trade, total inventory of the stock in trade, book – cash, book – received invoices, ...) and assets. Remote access may also be used to run purely operational modules such as production, logistics, customer relationship management and electronic communication with customers via the core of the Helios Orange information system, which offers great possibilities of direct connection to Outlook Express and Microsoft Office applications.

Connection

If the client wants to get connected to the database not very regularly, slower connections (dialling-up, GPRS) can do. For frequent use of accounting software a broadband Internet connection (256 Kbps or more) is recommended.

Price

Besides Remote Access Accounting (and possibly some other operational routines) the customers may also use the Helios Orange information system without any necessity to invest in the computer equipment provided they pays a maintenance fee. The clients will also be offered data maintenance and administration services. The clients who will run their own licence on our hardware will also be provided with data backing up and system upgrade services.

Two options of using remote access by clients:

The clients will use the licence we have purchased and will cover the costs of accounting and business operations (data will be input by our staff) and the costs of data administration and backing up and will pay an annual maintenance fee.

A potential offer of regular monthly services, as included in this option (Business Contacts, Cash and Invoices Issued are supposed to be performed by the clients)

  1. Accounting and VAT
  2. Preparation of annual final accounts and annual reports
  3. Salary calculating
  4. Business activities (stocks, invoices received, production, logistics, intrastat)
  5. Ensuring electronic contact with banks according to the client’s orders
  6. Client representation in the Revenue Office, communication with banks, preparation of business plans and their integration into the system
  7. Processing of statistics and communication with the Czech Bureau of Statistics
  8. Turn-key setting up of a branch solution (customising of the system, ranging from form making to automatic procedures in the form of plug-ins
  9. A monthly charge for system software administration (maintenance of SQL database and communication protocols)
  10. A monthly charge for system hardware administration (maintenance of operating systems, Windows upgrading and supervisory activity (guarantee of data availability)
  11. A monthly charge for maintenance of complete and renewable archives

Pozn. Points 3 to 8 are optional and can be chosen by the client at the time of making a contract or may be bought anytime during the duration of the contract.

The clients will buy their own licence of the Helios Orange information system, which will be installed on our server and incorporated in the project Remote Access. In this case the clients will pay for accounting and business operations (data will be input by our staff), and for data backing up and administration.

  2. Paying an annual maintenance fee (maintenance) (annual fee)

  13. A monthly charge for maintenance of complete and renewable archives

Pozn. Points 1 and 2 are parts of the contract of software delivery and annual system support.
Points 5 – 10 are optional and may be chosen by the client at the time of making a contract or may be bought anytime during the duration of the contract.

Pilot project was start at Nov, 2005. The two projects implemented till the end of May, 2006 aim to prepare remote access to routine operation. Even now we can see that our clients are interested in this service and therefore after the implementation of the service, a marketing campaign will be launched.

We have found that the period covering November and December is also the best time for gaining new clients (changes are usually linked with the start of the new accounting period).

At the beginning of October 2005 we launched an electronic marketing campaign and we are promoting a new Remote Access service on our websites www.smdata.cz and http://www.itprofit.cz/. Access to websites is supported by priority links on the web portals Google, Seznam and Centrum.
