Remote Access

The key idea of the whole system is data-sharing on-line among all system users. This happens through the use of two technologies:

  • remote access to the information system
  • client-server architecture

The client-server architecture allows all the clients who are hooked up to work in real time with the same data on the Helios Orange platform. All clients are hooked up to the same database, which is stored on our premises, through the Internet. The client, therefore, does not need to buy special IT associated with the operation of Helios Orange.

The remote access service will be included in Helios Orange, which we implemented ten years ago and have been using ever since successfully.

Solution Scope

The system contains financial components, such as purchasing (invoices, orders), sales (invoices, orders, deliveries, price lists), inventory (warehouse, production, products, consumption, deficits, damages), accounting (bank statements, cash, internal documents, value-added tax...), payroll, reports (payables, receivables, schedules, balance sheet, profit & loss statement, account balances, account movements, inventory movements, total inventory balance, stock-take balance, cash journal, received invoices journal...) and assets. The remote access can also manage purely operational modules, such as production, logistics, client relationship management, electronic communication with customers. All of the above goes through the core of Helios Orange, which contains broad hook-up options with Outlook Express and Microsoft Office.

Connection

If the client only connects to the database from time to time, slower connections can be used (dial-up, GPRS). We recommend broadband Internet access (256 kbps or more) if you use this accounting software frequently.

Price

On top of the remote-access accounting service (and perhaps on top of managing other operating agendas),
the client also gets the license to use Helios Orange without investing in IT. The only cost is a flat monthly fee. Clients will also be offered maintenance and data management services. Clients who operate their own Helios Orange licenses on our hardware will also benefit from data storage and system upgrades.

There are two ways for clients to take advantage of the remote access:

1)The client takes advantage of the license we have purchased and pays for the processing of accounting and business agendas (our staff obtains the data), the cost of data management, data storage, and an annual flat fee.

This option includes regular monthly services (while the client organization is expected to run some agendas on its own: business contacts, cash management, invoices issued).

  1. Book-keeping and VAT accounting
  2. Annual financial close and annual reports
  3. Payroll accounting
  4. Business agendas (inventories, received invoices, production, logistics, intrastat)
  5. Processing and implementation of an electronic interface with banks as per the client instructions
  6. Representing the client vis-à-vis the revenue service, communication with banks, processing closing statements and their integration into the system
  7. Processing the statistics and communication with the Czech Statistical Office
  8. Turn-key settings tailored to the industry (adjusting the system to client requirements, ranging from form designs to automatic processes in plug-in format)
  9. Monthly software fee for the system administration (management of the SQL database and the communication protocols)
  10. Monthly fee for the hardware maintenance (operating system maintenance, Windows upgrades, monitoring activity (data availability guarantee)
  11. Monthly fee for the maintenance of the complete and retrievable archive

Please note: Items 3-8 are fully optional for the client as per the agreement, and they can be purchased in addition anytime within the duration of the agreement.

2)The client organization purchases its own Helios Orange license which will be installed on our server subsequently and merged into the remote access module. In this case, the client pays for the processing of accounting and business agendas (our staff obtains the data), and the cost of managing and archiving the data.

With this option, the following services can be added (This option includes regular monthly services (while the client organization is expected to run some agendas on its own: business contacts, cash management, invoices issued).

  1. Payment for the Helios Orange license software (one-time or in 12 instalments)
  2. Payment for the annual maintenance fee (once a year)
  3. Book-keeping and VAT accounting
  4. Annual financial close and annual reports

Two pilot projects completed in December 2005 aim at implementing remote access into routine operations. Already at this stage, clients are more and more interested in this type of service, and we will prepare a marketing campaign after launch.

In our experience, November and December are the best period to get new clients (thoughts about switching suppliers usually come in relation to the beginning of a new financial year).

In early 2005, we started an electronic marketing campaign. We are promoting the remote access as a new service on www.smdata.cz. We are also promoting our website through priority links on Google, Seznam and Centrum.
